Policies

Whether you’re planning a wedding, a trade show, or a company banquet, these policies will help your event run smoothly. Below, you’ll find information on food and beverage, our decorating guidelines, and the public liability insurance we require all lessees to obtain. Please review them before you finalize your plans, and reach out to our team with any questions.

Food & Beverage Policies

Corkscrew Foods is the official concessionaire for all events at the Amarillo Civic Center Complex.

All food and drink concessions are contracted with the Amarillo Civic Center Complex concessionaire, Corkscrew Foods. The General Manager arranges novelty concession sales. Additional contractual arrangements are required when alcoholic beverages are served at your event.

The sale of food and beverage is prohibited without approval from management and the contracted concessionaire, Corkscrew Foods. All clients and their vendors should carefully read and adhere to the following Amarillo Civic Center Complex food and beverage policy: 

  • Any item that may be easily consumed on site may not be sold or given away outside the control of the Civic Center Complex’s contracted concessionaire. Items sold in bulk or for resale off of the Civic Center premises will be allowed pending approval of Civic Center Complex Management. 
  • Authorized vendors will only be allowed to sell items in quantities of 8ozs. or greater in sealed packages. This includes but is not limited to candy, cookies, fudge, ice cream, caramel apples, nuts, and beef jerky. 
  • No beverages are to be sold or given away outside the control of the concessionaire. 
  • Any exception to this policy is by written approval Civic Center Complex Management. 
  • It is the lessee’s responsibility to see that your vendors are in compliance with this policy. Lessees with vendors not in compliance with Civic Center Complex policy will be in violation of their contract and may be denied future bookings in the Amarillo Civic Center Complex. Vendors not in compliance may be required to leave. 

Catering Policies

If you’re serving food at your event without hiring a caterer, you’re expected to follow the same guidelines that apply to professional caterers. 

Clients must lease the kitchen adjacent to their event space through the Event Booking Coordinator in order to access a prep kitchen for themselves or their caterer.

All caterers must meet with an Event Supervisor both when they arrive and before they leave the facility. During the final meeting, we will inspect the kitchen and all catering areas.

We will note and address any damage, mess, or items left behind during that inspection. If the walkthrough doesn’t happen and issues turn up afterward, the client may be responsible for cleaning fees or could lose their deposit.

Here’s a breakdown of which spaces have an attached kitchen and what they include:

  • Grand Plaza: an industrial coffee maker, a walk-in cooler, two ice machines, four warming cabinets, two prep tables, a large dishwashing sink, and a small hand-washing sink
  • Heritage Room: an industrial coffee maker, a walk-in cooler, two ice machines, four warming cabinets, two prep tables, a large dishwashing sink, and a small hand-washing sink
  • North Exhibit Hall: an industrial coffee maker, a walk-in cooler, two ice machines, four warming cabinets, two prep tables, a large dishwashing sink, and a small hand-washing sink
  • Globe News Center: one ice machine, one warming cabinet, one small sink, and a small coffee maker

Please note that all kitchens are prep and warming kitchens only. Food may be stored, cooled, warmed, and prepared in the kitchen, but absolutely no cooking of any kind may be done indoors. If a client or caterer would like to cook on-site outdoors, they may arrange to do so with their Event Supervisor prior to an event.

Caterers must also follow all state and local health codes to operate within the Civic Center Complex, so please contact the City of Amarillo Environmental Health Department before your event to confirm compliance. If you’re handling your own food service without a caterer, we recommend checking in with them as well.

Decorating Policies

The following guidelines have been set to maintain the appearance of our facilities and provide the same quality service to all our clients. Please keep in mind that we host more than half a million guests each year, and these guidelines are essential to maintain the venues for everyone to enjoy. 

These guidelines are not all-encompassing, so clients with any questions or concerns about their decor should discuss their plans fully with an Event Supervisor to ensure all decor complies with our policies. 

Event clients should also plan to conduct a site tour upon arrival and again after each event to inspect for damages and cleanliness. An Event Supervisor can be contacted directly at (806) 654-1719.

Insurance Policies

We require a current certificate of public liability insurance showing that a policy is in force and that the City of Amarillo is named as the Certificate Holder and an additional insured at the time of the event. The amount of insurance should be a minimum of $1,000,000.00 per occurrence for standard general liability and  $2,000,000.00 aggregate. A certificate evidencing the required insurance coverage must be provided at least 30 days prior to the event start date.

City of Amarillo: Property Taxes Rebated Per Year by Agreement Type 

Overview
